Welcome to AceEd Tutoring. By accessing or using our services, you agree to the following Terms and Conditions. Please read these terms carefully before using our tutoring services.

1. Our Services

AceEd Tutoring provides online and in-person tutoring services for Grade 10–12 students in Mathematics, Physical Sciences, Life Sciences, Accounting, Economics, and other CAPS-aligned subjects.

Our services are designed to provide academic support, improve understanding, and assist students with their learning goals.

2. Registration & Accounts

Students must provide accurate and complete information when registering for AceEd Tutoring services.
You are responsible for ensuring that your account information remains accurate and for maintaining the confidentiality of your account details.
AceEd Tutoring reserves the right to suspend or terminate accounts that violate these Terms and Conditions or misuse our services.

3. Payments & Fees

All payments are processed securely through PayFast.
All prices are listed in South African Rand (ZAR).
Payment must be received before tutoring services are provided unless otherwise agreed upon by AceEd Tutoring.
Any applicable payment gateway fees may be passed on to the client.
AceEd Tutoring reserves the right to update pricing and service fees when necessary. Any price changes will be communicated before affecting existing bookings or subscriptions.

4. Refund & Cancellation Policy

AceEd Tutoring has a structured cancellation and refund policy to ensure fairness to both students and tutors.

Cancellation Policy

24+ hours notice: A tutoring session may be rescheduled at no additional cost, subject to tutor availability.
Less than 24 hours notice: The session cannot be rescheduled and no refund or credit will be provided.
No-show: If a student does not attend a scheduled session without prior notice, the session will be considered completed and no refund or reschedule will be provided.

Refund Policy

Refunds are not provided for completed tutoring sessions.
If a student is dissatisfied with a session, AceEd Tutoring will offer a free replacement session with another available tutor as a resolution.
Monthly subscriptions are non-refundable. If a subscription is cancelled during the month, unused sessions will not be refunded or carried over.
Exceptions may apply where services cannot be delivered due to circumstances within AceEd Tutoring’s control.

5. Privacy & Data Protection

AceEd Tutoring collects personal information necessary to provide tutoring services, manage accounts, communicate with students and parents/guardians, and improve our services.
Personal information may include names, contact details, academic information, and communication records related to tutoring services.
Your information is stored securely and will not be shared with third parties without consent, except where required by law or necessary to provide the requested services.
AceEd Tutoring complies with applicable data protection legislation, including the Protection of Personal Information Act (POPIA) of South Africa.

6. Limitation of Liability

AceEd Tutoring provides academic support and guidance but does not guarantee specific academic results, grades, or examination outcomes.
Student progress depends on various factors, including attendance, participation, effort, and personal commitment.
AceEd Tutoring is not responsible for losses or damages resulting from the use of our services, except where required by applicable law.
AceEd Tutoring reserves the right to refuse service or discontinue services where necessary.

7. Tutor Services & Student Responsibilities

Tutors provide educational guidance, explanations, and learning support.
Students are responsible for attending scheduled sessions, completing assigned work, participating actively, and applying the guidance provided by tutors.
AceEd Tutoring cannot guarantee academic improvement where students do not actively participate in the learning process.

8. Parent/Guardian Consent

For students under the age of 18, a parent or legal guardian must provide consent before the student uses AceEd Tutoring services.
The parent or guardian is responsible for ensuring that registration information provided is accurate and up to date.

9. Online Sessions & Communication

Online tutoring sessions may require access to appropriate devices, internet connection, and communication platforms.
Students and parents/guardians are responsible for ensuring they have the necessary equipment and connectivity to participate in online sessions.
Communication may take place through email, WhatsApp, or other approved platforms.

10. Intellectual Property

All AceEd Tutoring materials, resources, notes, worksheets, and learning content provided during tutoring sessions remain the intellectual property of AceEd Tutoring unless otherwise stated.
Materials may only be used for personal educational purposes and may not be redistributed, sold, or shared without permission.

11. Governing Law

These Terms and Conditions are governed by the laws of the Republic of South Africa.
Any disputes arising from these terms will be handled according to applicable South African laws and regulations.

13. School Partnership & Scholarship Program

AceEd Tutoring may enter into partnerships with schools to provide subsidised or scholarship-based tutoring services to selected students.

13.1 Group Structure

The School Partnership Program operates in groups of 5 students.
Each group consists of 4 paying students and 1 scholarship student.
The scholarship student receives tutoring at no charge for the applicable scholarship period, subject to the terms of the Scholarship Agreement.
The partner school may assist AceEd Tutoring in identifying and selecting eligible scholarship students.

13.2 Minimum Group Requirement

To ensure that the School Partnership Program is operationally and financially sustainable, a minimum number of groups may be required before in-person tutoring services can commence at a partner school.
The minimum requirement may vary depending on factors including the school's location, transport requirements, tutor availability, class scheduling, and the number of students enrolled.
Unless otherwise agreed in writing with the partner school, AceEd Tutoring's standard minimum requirement is 5 groups, equivalent to 25 students.
AceEd Tutoring may agree to commence or continue a partnership with fewer than 5 groups at its discretion, taking into account the specific circumstances of the school and the feasibility of providing the services.
If the minimum number of groups is not reached, AceEd Tutoring may postpone the commencement of the programme, adjust the programme structure, or discuss alternative arrangements with the partner school.
Any changes to the minimum group requirement or programme structure will be communicated to the affected school and, where applicable, parents or guardians before taking effect.

13.3 Transport & In-Person Sessions

In-person School Partnership Program sessions may be scheduled on designated days agreed upon between AceEd Tutoring and the partner school.
AceEd Tutoring may arrange transportation for tutors and staff attending the school.
Where reasonably possible, AceEd Tutoring may coordinate tutors travelling together to improve the efficiency and sustainability of the programme.
The availability and frequency of in-person sessions may depend on tutor availability, transport arrangements, school requirements, and the number of active groups.

13.4 Scholarship Terms

One free tutoring spot is available in each group of 6 students.
The partner school selects the student who receives the free spot, subject to the eligibility requirements determined by AceEd Tutoring.
The scholarship covers one full term (3 months) of tutoring unless otherwise agreed in writing.
Students receiving free tutoring and their parent or legal guardian, where applicable, must sign a Scholarship Agreement before tutoring begins.
Scholarship places are subject to programme availability and the continued operation of the relevant School Partnership Program.

13.5 Student Commitment ("Pay It Forward")

Students receiving free tutoring through the School Partnership Program are encouraged to contribute positively to their school or community by paying the opportunity forward.

Depending on the student's circumstances and the programme agreed with the school, this may include:

Peer Tutoring: Helping younger students, including Grade 8–9 learners, with their studies.
Social Media Ambassador: Sharing their experience of the programme where appropriate and with the necessary consent.
Referrals: Referring other students who may benefit from AceEd Tutoring.
Testimonials: Providing a written or video testimonial, subject to appropriate consent.

Any specific commitment applicable to a scholarship student will be set out in the student's Scholarship Agreement.

Failure to comply with agreed scholarship conditions may result in the scholarship being reviewed or withdrawn, subject to the terms of the Scholarship Agreement.

13.6 Mentorship Program

Students who successfully complete the School Partnership Program may be invited to apply for AceEd Tutoring's mentorship programme.
Mentors may support younger or first-year students participating in the programme. Mentor eligibility, responsibilities, and selection requirements will be communicated separately.

13.7 Changes to the School Partnership Program

AceEd Tutoring reserves the right to modify the structure, availability, scheduling, eligibility requirements, or minimum group requirements of the School Partnership Program where reasonably necessary to maintain the sustainability and quality of the programme.
Any material changes affecting an existing school partnership will be communicated to the relevant school before implementation.
